Inviting and removing people

Admins and the owner add people to the workspace by invitation, and remove them from the same page. This page covers both, along with changing a role and what each change does to your seat count.

Invite someone

  1. Open Team and select Invite member.
  2. Enter the person's email address.
  3. Choose a Role: Admin, Agent or Viewer. The owner role is never offered.
  4. Select Send invite.

Overdesk emails them an invitation link that expires after 7 days. The invitation appears under Pending invitations until they accept it.

To send a fresh link, invite the same address again: the new invitation replaces the pending one. To cancel an invitation, select Revoke beside it.

Accepting an invitation

The link opens a Join your team page. The invited person enters their name, agrees to the Terms of Service and Privacy Policy, and selects Accept invitation. They are signed in straight away with the role you chose. After that, they sign in with an emailed link like everyone else.

Change someone's role

On the Team page, pick a new role from the menu beside their name. An admin can set anyone except the owner to Agent or Viewer, another admin included. Only the owner can promote an existing member to Admin. The change takes effect the next time that person signs in, so to cut off access at once, remove them instead.

Remove someone

  1. On the Team page, select the bin icon (Remove member) beside their name.
  2. Confirm with Remove.

Their sessions end at once, so they are signed out everywhere. The owner cannot be removed. Drafts, reports and other work stay in the workspace after the person who made them leaves. Any invitations they sent that are still pending are cancelled.

Seats

Every person in the workspace is a seat, whatever their role, and every paid plan bills at least 3 seats. When an invitation is accepted, or someone is removed, the seat count on a paid plan updates by itself. Pending invitations are not seats. See Seats.
